For Ancillary Providers

To ensure our members receive high-quality healthcare, all providers must meet our registration and accreditation requirements before benefits can be paid for their services.

Provider Registration Requirements

In most cases, you will not need to proactively register with us — your accrediting body will do this for you.

Below you’ll find everything you need to know about eligibility, documentation, professional associations, and how to ensure you remain recognised.

Most providers do not need to register with us directly. In almost all cases, your details are supplied to us automatically through one of the following channels:

  1. Medicare
If you hold a Medicare provider number, your registration information will be passed to us automatically.
  2. Australian Regional Health Group (ARHG)
For modalities such as remedial massage, myotherapy and counselling, your accreditation and provider details are supplied to us directly by ARHG.
  3. HICAPS or HealthPoint
If you use an electronic claiming terminal, your provider information is transmitted to us via these systems.

Because of these automated processes, most providers do not need to take any additional steps to register with us.

There are some situations where automated registration does not occur — most commonly where a provider:

  • Does not hold a Medicare provider number
  • Is not accredited through ARHG (for modalities where it's not applicable)
  • Is not set up with HICAPS or HealthPoint

In these cases, you can contact our Provider Support team by phone or email, and we will guide you through the registration process.

You may be asked to provide documentation such as:

  • Proof of qualifications
  • First Aid certification
  • Professional indemnity insurance
  • Evidence of association membership • Practice address and contact information
  • Medicare/PRODA screenshot or ARHG accreditation (if applicable)

Once we have the required documentation, we will complete your registration and notify you when this is done.

Processing times vary depending on your accrediting body, but we will keep you informed.

We will send you confirmation once your registration has been added to our system, if you have made a request. Once registered, claims for your services will process normally, and your patients will be able to receive benefits according to their level of cover.

General Eligibility Requirements for Providers

To be eligible, you must:

  • Work in private practice (mobile, home-based, multi-location and subcontracting arrangements are accepted if compliant with professional regulations).
  • Hold current First Aid certification.
  • Maintain professional indemnity insurance appropriate for your profession.
  • Belong to a professional association relevant to your modality that meets national standards for:
    • Credential assessment
    • Continuing professional development (CPD)
    • Code of conduct
    • Complaints and disciplinary processes
    • Regulatory compliance

If you are unsure whether your association is recognised, please check with them directly or contact us for guidance.

Provider Contact Information Requirements

To process a claim, provider contact information must be included on the invoice, such as:

  • Provider name
  • Practice address
  • Email or phone number If contact details are missing, the member may be asked to supply an updated invoice.

What Providers Need to Do

To ensure recognition:

  1. Confirm you meet the eligibility and accreditation requirements for your profession.
  2. Ensure your association or Medicare registration is up to date.
  3. Provide updated invoices that include full contact details.
  4. Keep your professional documentation accessible for verification if requested.

When We Can Pay Benefits

We can only pay benefits when:

  • The provider is fully qualified and meets all registration/accreditation requirements.
  • The provider’s details can be verified through recognised associations or Medicare.
  • The treatment is delivered by a practitioner authorised to perform that service.

We cannot pay benefits for:

  • Providers who are not accredited or not members of a recognised association.
  • Providers who hold only provisional registration (e.g., provisional psychologists, nurses, or midwives).
  • Claims where provider qualifications cannot be verified.

Accreditation & Registration Standards

To be recognised, you must be accredited by the Australian Regional Health Group (ARHG).

Additional requirement for counsellors (from 1 January 2025): New counsellors joining ARHG must hold Level 3 or Level 4 membership with the Australian Counselling Association (ACA).

We receive regular accreditation updates from ARHG to maintain recognised provider status. Providers removed from ARHG or whose membership lapses become ineligible for benefits until reinstated.

You must either:

  • Hold a valid Medicare provider number, or
  • Be registered with a recognised professional association that meets the required national eligibility criteria.

You may be asked to provide documentary evidence such as:

  • A Medicare confirmation letter, or
  • A PRODA (AHPRA) screenshot including your name, provider number, and practice address.

Recognition Criteria

Medicare would transmit your details to us. Alternatively, please email your Medicare letter confirming your provider number for your practice.

Please email your certificate of registration from AHPRA and the details of our practice location

You will need to be registered with Australian Regional Health Group. Please contact them and your association to discuss your registration.

FAQs

If you are registered for HICAPS or HealthPoint, you will be able to submit the claim to us electronically, either using the member’s physical card or the QR code available in our app.

Alternatively, please provide your patient with an invoice and they will be able to submit it to us directly, either via app, Online Member Services, email or post.

If you are submitting invoices on behalf of the member via email or post, please be aware that we will reimburse our member directly.

If you hold a Medicare or ARHG provider number, your details will be transmitted to us by them. Similarly, any HICAPS or HealthPoint provider numbers will be updated by them. For any other providers, please email us directly.

Doctors’ Health Fund does not have preferred providers. If you are appropriately registered, your patients will receive the benefits they are eligible for.

A valid tax invoice:

  • is on the treating practitioner's official letterhead (or endorsed with their official stamp)
  • includes the treating practitioners' ABN, provider number, practice address, contact details and name
  • is endorsed with the invoice date and, where a reprint of the original, the date of printing and the word 'duplicate'
  • itemises the name of the patient, a description or recognised item number of each treatment and the date of service of each treatment.
  • Please note that if the invoice includes a Medicare or NDIS item number, it is not eligible for health insurance benefits. Health funds cannot provide benefits under extras policies towards services that are eligible for government benefits.

Please advise us of the error via email, stating the error and the details. We will require a manual invoice reflecting the correct service, as well as the copy of the original HICAPS or HealthPoint receipt. Any eligible top up benefits will be processed to the patient.
